Job Description:

Manages all communications for the Executive and department, including written correspondence and telephone contacts. Coordinates and maintains the Executive’s calendar for meetings and appointments to optimize time utilization. Fields departmental phone calls, troubleshoots issues, routes callers appropriately, screens mail, reduces paper flow, and manages follow-up correspondence. Collaborates with other administrative staff throughout the hospital system and community. Attends departmental meetings, takes minutes, transcribes, and prepares documentation. Performs other duties as assigned.

Knowledge, Skills, and Abilities:
• Proficient with computer programs with word processing: PowerPoint, Excel and Word. [Required]
• Demonstrates interpersonal skills by effectively communicating with all levels of management and outside venders. [Required]
• Strong emphasis on organizational skills and strong attention to detail and ability and willingness to multi task. [Required]
• Ability to deal with data that is of a sensitive and confidential nature. [Required]
• Ability to work independently or in a team environment. [Required]
• Good math skills with an ability to understand and work with spreadsheets. [Required]

• Excellent verbal and written communication skills as demonstrated by application resume, work history and interview process. Prior related work experience in a healthcare environment that provides the following knowledge, [Required]
• Working knowledge of and ability to use personal computer and perform data entry. [Required]
• Working knowledge of medical terminology. [Required]

• All other Microsoft applications [Preferred]
• Analytical and critical thinking skills [Preferred]
• Executive clerical support training. [Preferred]

Education:
• High School Grad or Equiv [Required]
• Associate [Preferred]

Field of Study:
• N/A

Work Experience:
• 10+ medical assistant experience in a physician office and experience with medical front office functions. [Required]
• 10+ prior clerical support for an executive or marketing executive [Preferred]
• 5+ secretarial/administrative experience [Required]
• Prior administrative support for an executive/C-Suite level. [Preferred]
• Prior experience working in assigned department or a medical/hospital related environment [Preferred]

Additional Information:
• Completion of accredited course in Medial Assisting or Licenses Practical Nurse
• Combination of formal education and relevant work experience

• Basic Life Support - CPR Cert (BLS) [Required]
