JOB SUMMARY
The VP, Director Program Management is responsible for conceptualizing meetings and events that are strategically designed to meet the client’s business objectives and presenting them to current and future clients. This individual serves as a meetings/logistical resource to all teams at the agency; leads the staff responsible for the implementation of meetings, events, and speaker programs; and manages client relationships and scopes of work for meetings activities. The VP, Director Program Management is responsible for continually evaluating and recommending improvements to the infrastructure supporting the meeting services group.
ESSENTIAL FUNCTIONS
- Team Management & Development Responsible for the day-to-day oversight, training and development of direct reports, and overall leadership of the Meetings and Events team
- Budgeting & Finances Collaborate with finance and client teams to create accurate project scopes. Ensures that projects deliver on time and within budget
- Program Implementation Implement a variety of different programs that support business needs
- Client Relations Provide support across internal client teams and vendors
- Client Management Demonstrate an ability to grow business by efficiently addressing current needs and proactively challenging and addressing long-term and future needs of the clients
- Administrative Perform basic administrative duties such as data entry, scheduling and coordination of projects, as needed
JOB DUTIES & RESPONSIBILITIES
• Lead the meetings and events department; mentor all direct reports in that group and oversee work distribution across department staff
• Take a proactive stance to creating, managing, and implementing meeting services Standard Operating Procedures
• Review resources and allocate workflow based on staff availability and skill set
• Manage multiple projects and work assignments
• Identify and manage outside vendors for all logistical activities (eg, audio visual, ground transportation and hotel chains) and meet with new vendors representing new technologies and advancements
• Manage finances for meetings management projects
• Establish rapport with clients and manage client interactions on a regular basis; provide account leadership for meetings projects
• Lead research and development efforts for targeted tactical recommendations related to meetings management for new business pitches and annual business plan development; present slides at client presentations as needed
• Provide meetings/events coverage for any brand at the agency; assist senior leadership in ensuring that meetings/events needs are met
• Serve as a meetings/logistics and speaker program spokesperson for all internal and client meetings and initiatives
• Educate team on industry rules/guidelines and ensure adherence to all relevant agency, industry, federal, and client-specific healthcare compliance and ethics guidelines and regulations
EDUCATION
Bachelors in Business, Communications, or Meetings-Related Field
EXPERIENCE
• 5 years’ Managerial Experience
• 10 years’ Meetings Management Experience
• 5 years’ Pharma or Agency Medical Communications
KNOWLEDGE & SKILLS
Cvent meetings management platform
Microsoft Excel (familiarity to perform basic functions and formulas)
Workfront/Workfront Proof (or equivalent)
Microsoft PowerPoint (proficiency to create slides for business needs)
$175,000 to $200,000 annually
Omnicom’s policy requires employees to work in the office for a minimum of three days a week, unless additional in-office days are directed by their agency or manager.
