Job Details:

Mercer University is searching for an Administrative Support Assistant on the Macon, Georgia campus.


 

Responsibilities:

The Administrative Support Assistant manages the administrative needs of two departments, English and International/Global Studies, including all programs led by faculty in these departments. Acts as receptionist for the departments, handles telephone and e-mail communications, purchases supplies, supervises work-study students, and monitors budgets as directed by department chairs. Operates under the supervision of the Chair of the English Department, who coordinates administrative support needs for the departments mentioned above.

This is an 11-month position working 37.5 hours per week from August 1 to June 30 each year and is off during the month of July.


Qualifications:

A high school diploma or GED and one year of administrative support experience are required.


Knowledge/Skills/Abilities:

  • Ability to learn Anthology and Workday software programs.
  • Ability to use MS Excel to create and maintain spreadsheets and prepare budget information.
  • Ability to use MS Word to prepare correspondence, manuscripts, etc.
  • Ability to use various Internet browsers to access information from the internet
  • Ability to use Outlook to send, receive, and forward email.
  • Ability independently to organize, prioritize, and complete tasks from multiple individuals.
  • Strong oral and written communication skills, including communicating with a variety of stakeholders inside and outside of the university.
  • Daily flow of work is accomplished on Word documents - letter writing memos and general correspondence within and outside of the university dealing with professors’ professional interests outside the classroom.
  • Knowledge and use of Excel are increasingly important since many requests from deans’ offices come in the form of spreadsheets.
  • Use of email for general university business, memos to department faculty, and department reports circulated through email. Internet usage for university calendar, setting up lecture series - reservations for building and room usage.
  • Ability to learn Anthology software is imperative, since it contains course information on the section day/time offered, building/room enrollments, registering students for classes, dealing with wait lists, student holds, etc. Used for individual student needs from professors, such as: finding campus phone numbers, email addresses, previous classes/grades, student advisor, etc.
  • Ability to learn Workday software is essential for printing monthly financial department reports and for tracking expenditures. Workday is also used for hiring and payroll processes for student workers.
  • Also, should have basic knowledge of contemporary technology so as to provide clear communication with faculty and the tech support staff of the university.
