Babilou Family US is part of the global Babilou Family network and brings a local, community-focused approach to early childhood education through our Little Sprouts, First Chapters, Building Blocks, and Heartworks schools. 


This role is primarily responsible for providing operational and administrative support to the Human Resources department in its mission to support the organization and its employees. Key responsibilities include personnel administration, employee onboarding and offboarding, HRIS maintenance, unemployment and employment verification administration, payroll support activities, and special projects. This role requires a service-minded, detail-oriented professional who thrives in a dynamic, fast-paced environment.

Essential Duties & Responsibilities

  • Execution of personnel administration activities (new hires, promotions/transfers, terminations, etc.), including HRIS entries and associated tasks.


  • Facilitate school onboarding and offboarding processes, including required documentation, system updates, and communication with internal stakeholders.


  • Coordination of Home Office new hire onboarding activities and processes, including background checks, desk setup & welcome gifts, first day preparation & communication, onboarding programs, welcome announcements, etc.


  • Respond to employment verification and unemployment requests timely and accurately.


  • Responsible for weekly HR submissions to payroll team related to specific areas of responsibility, ensuring all relevant items are processed within appropriate timeframes and all relevant details are included.

  • Other Duties & Responsibilities

    • Facilitate employee service anniversary program (gifts, announcements, etc.) and initiatives related to various other employee life events.


    • Administration of various fringe benefit programs (i.e. employee tuition reimbursement, etc.). 


    • Order business cards, nametags, etc. through corporate supply vendor.


    • Maintain company communication lists and distribute/post as needed.


    • Maintain employee communication boards & notices/postings, including coordination of labor poster service.


    • Assist with planning and execution of company events, programs, etc.


    • Maintain organizational charts.


    • Provide support to various training initiatives as needed.


    • Creation and submission of various reports as needed.


    • Assist employees with HRIS password resets as needed.


    • Miscellaneous clerical duties as needed (i.e. filing, mailings, etc.).


    • Coordination of and/or support to various HR department initiatives and programs as needed.


    • Cross-train in various other HR function tasks/activities to provide back-up support as needed. 


    • Other duties and/or special projects as assigned.





Required & Preferred Qualifications

  • High school diploma or GED equivalent.


  • Associate’s degree in Business, Human Resources or related field – or equivalent relevant work experience.


  • 3+ years of experience in an HR support or service-oriented role in a high-growth or fast-paced environment.


  • Knowledge of employment laws and HR compliance requirements is a plus.



  • HR certification (PHR, SHRM-CP, or similar) is a plus.


  • Exceptional professionalism (communications, interactions, etc.).


  • Ability to communicate clearly, concisely and professionally (both verbally and written) and at all levels of the organization.


  • Demonstrated commitment to providing exceptional internal customer service and building positive working relationships with employees, managers, and business partners.


  • Ability to prioritize work and adjust priorities as needed.


  • Exceptional attention to detail and accuracy with strong organization and follow-up skills.  


  • Ability to manage multiple tasks simultaneously while maintaining data integrity.


  • Ability to work with and maintain confidential information.


  • Intermediate skills in MS Word, MS Excel, MS PowerPoint.


  • Experience with HRIS platforms, Paylocity strongly preferred. 


  • Ability to read, write and speak English at a proficient level – bilingual in Spanish a plus.




Work Environment & Physical Requirements

  • Can work at least a full-time, 40-hour a week schedule, sometimes off-hours as the business requires (i.e., deadlines, networking events, conferences, business dinners, etc.).


  • Can sit for long periods of time at a computer in a primarily sedentary position; manual dexterity required to use desktop computer and peripherals.


  • No travel required.


  • Ability to lift up to 25 lbs. to waist-height on an occasional basis.
