Full job description
Operations functions include:
- Assists A3S Product Manager (PdM) and Deputy Product Manager (DPdM) with developing office policies and procedures and keeping them current.
- Conducts analysis of requirements, develops recommendations and plans, establishes and schedules for required working groups, and coordinates and manages resources through completion of assigned special projects.
- Responds to requests for information and routes to appropriate action agent.
- Collects and reports daily personnel accountability to Project Manager Aviation Mission Systems and Architecture (PM AMSA) Operations.
- Work with PM AMSA Headquarters Staff to synchronize and coordinate all Product Office actions.
- Ensures proper handling and distribution of classified materials.
- Assist with daily and weekly reports to higher headquarters (Staff Call notes, significant actions reporting, and other daily/weekly reports as required).
- Work with PM AMSA Headquarters staff and Product Office leadership to support tasking and directives.
- Assimilate information from numerous sources and provide recommendations to leadership.
- Issue, review and track taskings for Product Office.
- Coordinate technical development with other Project/Product Offices, other government agencies, and contractors to promote information exchange.
- Develop, write and staff briefings to officials/groups in the Project/Product Office.
Administrative functions include:
- Office automation secretarial functions (typing, checking and correcting documents for spelling, grammar, and proper formatting per AR 25-50 and other policy documents) in support of A3S PdM, DPdM, Product teams, Functional teams, and special staff).
- Must be proficient or familiar in the usage of GlobalProtect, VMware, MS TEAMS, teleconferencing, and videoconferencing tools. Receives visitors and telephone calls; quickly ascertains best individual or team for forwarding calls and visits.
- Plans, coordinates, and schedules briefings and conference rooms; organizes and coordinates conferences and ceremonies.
- Manage the in-processing/out-processing of personnel assigned to A3S, to include the oversight of welcome packages, sponsorship for in processing, and processing within the Human Resource Service Desk (HRSD).
- Responsible for coordination and staffing all documents requiring O-5, O-6, and PEO leadership approval, to include submission and tracking of document packets using Enterprise Task Management Software Solution (ETMS2), SharePoint Workflow, and other staffing tools as required.
- Serves as the A3S Subject Matter Expert (SME) for MS Office Suite Applications for administrative tasks. Deep understanding of MS TEAMS and OneNote are a plus.
- Must be proficient or familiar with both the Defense Travel System (DTS) and the Automated Time and Attendance Production System (ATAAPS); performs reviews and administrative functions for both programs.
