SALARY: $85,000-$98,000 (based on education and experience).  
REPORTS TO: Vice President of Finance 
DIRECT REPORTS: No   

LOCATION: Must be located in or near Kansas City, KS, Las Vegas, NV, Denver, CO, Bismarck, ND, Dallas, TX, Houston, TX, San Antonio, TX, Omaha, NE, Phoenix, AZ, or Salt Lake City, UT.

JOB SUMMARY

Want to take the lead on a fuel program that directly impacts fleet efficiency, cost savings, and operational performance? We’re looking for a Fuel Program Manager to help shape and optimize our company-wide fuel strategy. This role will oversee everything from fuel purchasing and planning to fuel card controls, fraud prevention, reporting, and data analysis — turning insights into strategies that improve efficiency and reduce costs across our fleet.

ESSENTIAL JOB DUTIES

  • Manage and oversee all aspects of the company’s fuel management program.

  • Develop and maintain fuel management policies, procedures, internal controls, and fraud prevention measures.

  • Manage fuel purchasing, fueling plans, and fuel utilization by location and route.

  • Manage the issuance, tracking, monitoring, and cancellation of fuel cards.

  • Monitor and audit fuel transactions to identify errors, misuse, irregularities, and potential fraud.

  • Prepare and analyze regular reports on fuel costs, utilization, consumption, and efficiency.

  • Reconcile fuel transactions and ensure accuracy of all fuel-related expenses.

  • Create and maintain fuel management dashboards and KPIs.

  • Regularly assess fleet and truck-specific fuel efficiency and make recommendations for improvement.

  • Analyze fuel pricing, usage, and operational data to identify cost-saving opportunities.

  • Develop financial models and recommendations for fuel tanks, fueling infrastructure, and other fuel-related investments.

  • Monitor fuel budgets, forecasts, and expenditures and identify significant variances.

  • Work with Operations, Fleet, Accounting, and Finance to resolve fuel-related issues and improve processes.

  • Provide regular fuel analysis and strategic recommendations to the Vice President of Finance and senior management.

  • Prioritize and manage multiple fuel management projects and initiatives.

  • Occasional travel is required.

  • Other duties as assigned.

Skills and Knowledge

  • Well-developed interpersonal skills and the ability to work effectively with diverse personalities and departments.

  • Must possess excellent organizational, communication (written and verbal), analytical, and decision-making skills.

  • Strong knowledge of fuel management, fleet operations, fuel purchasing, and cost control.

  • Strong understanding of internal controls, transaction auditing, and fraud prevention.

  • Strong analytical and financial modeling skills with proficiency in Excel and data visualization tools.

  • Experience with fuel management, fleet management, or ERP systems preferred.

  • Ability to analyze trends and develop data-driven recommendations.

  • Ability to independently manage the company’s comprehensive fuel management program.

  • Knowledge of fuel industry trends, pricing, and fleet fuel efficiency practices preferred.
