Summary
The OR Scheduler role at the Pre-Anesthesia Evaluation Center does the following:
- Coordinates and builds complex surgical cases in Epic, ensuring procedures are accurately scheduled and placed on the OR schedule (Snap Board).
- Manages the iQueue-to-Epic workflow, troubleshooting interface errors and resolving issues such as new patient chart creation, incorrect demographics, or missing information by partnering with physician offices.
- Reviews and validates every surgical case to ensure all patient, surgeon, and procedural details are accurate before scheduling.
- Identifies and coordinates special surgical requirements, including ERAS cases, joint procedures, SOC patients, vendor coordination, wire localization, specialized equipment, and surgeon-specific scheduling needs.
- Selects the appropriate OR procedures within Epic to ensure the operating room is equipped with the correct instruments, equipment, and resources for each surgery.
- Schedules cases based on OR capacity and resource availability, resolving scheduling conflicts, equipment limitations, and block time issues through collaboration with surgeons' offices and OR leadership.
- Processes case updates, cancellations, and reschedules, ensuring all scheduling changes are communicated accurately and reflected in the OR schedule.
- Communicates with multidisciplinary teams, including physician offices, OR staff, anesthesia, and other clinical departments regarding scheduling changes, ERAS notifications, and pre-procedure coordination.
- Serves as the final quality checkpoint before surgery by ensuring all scheduling, patient, and procedural information is complete and accurate, helping ensure surgeons have the appropriate time, equipment, and resources needed to safely perform each procedure
** Prior surgical scheduling experience required**
The OR Scheduler position is the first point of contact with Lee Health for physician offices to Schedule any Surgical, Endoscopic, Endovascular Lab or other Interventional Radiology procedures; therefore, it requires excellent verbal and customer service skills. Excellent computer skills and knowledge of medical terminology is also a requirement. Staff must have the ability to multitask by answering phones, collecting and verifying information, understanding and scheduling any Surgical or Endoscopic procedure(s) in Op Time from all Specialties for all Lee Health Surgical facilities. This position requires the ability to work in a fast paced sometimes stressful environment; must be organized and have the ability to prioritize, be extremely detail oriented to assure accuracy and remain flexible to provide exceptional customer experience. This job requires a person to be able to work independently and yet be a team player that supports efficient use of the available Surgery and Physician time and resources during prime time hours. Effective planning is essential to optimize the surgical experience for the patient, surgeon and staff. This position must be able to implement and follow standard processes that support clear and accurate communication to patients, families, physician and department staff to meet identified needs as this will improve quality, safety and productivity while decreasing the opportunity for adverse events. This position is not only responsible for effective scheduling, but also for coding, verifying insurance and/or obtaining necessary pre-certification/authorization for procedures. Thus, knowledge of basic insurance guidelines and authorization limitations is also part of this job.

Education:High School or equivalent required. Post high school training or college preferred.
Experience:Previous medical or surgical scheduling experience. Epic experience is preferred. Has the ability to demonstrate multitasking competencies.

Other:Excellent communication, interpersonal, and customer relations skills required. Medical terminology, mathematics, grammar and spelling skills required. Excellent computer skills required. Has the ability to problem solve and demonstrate critical thinking skills. Understanding of CPT and ICD coding is necessary. Ability to read, write, understand the English language required. Bilingual Preferred but not required.
