Full job description
As Senior Fleet Planner, you will own the operational orchestration of Waabi's vehicle fleet. You will be the connective tissue between our vehicles, our crews, our commercial customers, and our internal tooling, making sure the right vehicle is in the right place, with the right people, at the right time. This is a high-ownership, high-visibility role at the intersection of logistics, technology, and real-world autonomous operations. What you build here will directly shape how Waabi runs its fleet for years to come.
As our fleet scales and our commercial commitments grow, so does the operational complexity behind every run: coordinating vehicles across sites, managing crew availability, tracking every vehicle across its lifecycle, and ensuring every handoff happens without a hitch.
You will…
- Track every vehicle across its full lifecycle, from receiving and build-out through integration, testing, active deployment, and maintenance, knowing where every vehicle is, what state it is in, and when it will be operationally available.
- Own day-of fleet execution, managing intra-site and inter-site handoffs and serving as the primary point of contact when issues arise, coordinating across vehicles, crews, dispatch, and commercial operations to keep every run on track.
- Track crew staffing against operational capacity, monitoring availability, and proactively flagging situations that require adjustments before they become a problem.
- Build the plan and report on it, run fleet planning syncs across hardware, operations and engineering teams to align on vehicle status and close open questions, maintain weekly resource allocation plans and forward-looking capacity forecasts, and generate executive-ready analyses that surface tradeoffs and actionable recommendations before constraints hit.
- Own and evolve Waabi's fleet management tooling, scoping and defining business requirements in partnership with Engineering and Product, driving adoption to replace manual processes, and continuously improving based on operational gaps.
- Connect data across systems, partner with scheduling, HR systems, and data infrastructure to ensure fleet data flows accurately without manual overhead.
- Document and continuously improve fleet coordination processes as Waabi's fleet, customer base, and operational footprint grow.
- 5+ years of experience in fleet planning, asset management, or logistics coordination supporting Class 8 or autonomous vehicle fleets.
- Strong technical aptitude with experience in fleet management and telematics/ELD platforms, or similar operational systems.
- Demonstrated familiarity with the full asset lifecycle of an autonomous vehicle fleet, including deployment, maintenance, downtime, and operational readiness.
- Demonstrated ability to own recurring resource and capacity planning cycle, including allocation plans, and forward-looking capacity forecasts against operational demand, balancing fleet and crew availability and proactively identifying backfill needs.
- Experience running recurring cross-functional meetings, driving decisions with clear owners and dates.
- Strong data fluency with the ability to combine data across systems, analyze operational performance, and identify capacity or availability constraints.
- Demonstrated experience partnering with Engineering and Product to define business requirements and improve or automate operational workflows.
- Strong organizational skills and meticulous attention to detail, including accurate record-keeping across operational systems.
- Passion for self-driving technologies, solving hard problems, and building a culture of safety and operational excellence.
- Occasional travel to other operational sites may be required
- Working knowledge of DOT and FMCSA regulations, including Hours of Service, DVIR and pre/post-trip inspection requirements, and DOT annual inspections, and how each constrains crew scheduling and asset availability.
