Position Summary:
The Office Manager is responsible for coordinating and overseeing the daily operations of the office and warehouse administrative functions to ensure efficient business operations. This role manages clerical processes, inventory purchasing and control, payroll preparation, correspondence, filing systems, and employee training programs. The Office Manager also supervises office and warehouse staff, promotes workplace safety, and supports inventory and logistics activities to maintain operational effectiveness.
Key Responsibilities:
- Analyze, organize, and improve office operations and administrative procedures, including bookkeeping, payroll preparation, correspondence management, filing systems, and supply procurement.
- Purchase inventory for stock and direct shipments and coordinate deliveries with suppliers and transportation providers to maintain appropriate inventory levels.
- Monitor inventory activities by compiling information on the receipt and disbursement of materials and supplies and maintaining accurate inventory balances.
- Coordinate and oversee employee training programs designed to improve job proficiency, promote safe work practices, and enhance safety awareness.
- Supervise and direct office, warehouse, and transportation personnel, ensuring work is completed efficiently and in accordance with company policies.
- Participate in recruiting, interviewing, hiring, onboarding, and training employees.
- Plan, assign, and evaluate employee work performance.
- Address employee concerns, resolve workplace issues, and administer corrective action when appropriate.
- Maintain compliance with company policies, safety standards, and applicable regulations.
- Support general office management and perform additional duties as assigned.
Qualifications:
Required
- High school diploma or GED.
- Four to five years of related office, administrative, inventory control, or operations experience, or an equivalent combination of education and experience.
- Two to four years of supervisory or leadership experience.
- Strong organizational, communication, and problem-solving skills.
- Ability to read, interpret, and apply safety rules, operating instructions, procedures, and manuals.
- Ability to prepare routine reports, business correspondence, and other written communications.
- Proficiency with personal computers and standard business software applications.
- Ability to perform inventory calculations and apply basic mathematical concepts, including percentages, proportions, and algebraic calculations.
- Ability to manage multiple priorities and make sound decisions in a fast-paced environment.
Preferred
- Experience in warehouse, distribution, logistics, or inventory management operations.
- Experience administering employee training and safety programs.
- Forklift operation experience or certification.
- Ability to operate or obtain qualification to operate a tractor-trailer vehicle.
- Additional coursework or training in business administration, operations management, or a related field.
Work Environment:
- Primarily works in an office environment with regular interaction in warehouse and distribution areas.
- Occasionally works near moving mechanical equipment and machinery.
- May be exposed to outdoor weather conditions, humidity, wet conditions, and certain chemicals used in warehouse operations.
- Noise levels are generally moderate but may occasionally be loud in warehouse or operational areas.
- Requires regular interaction with employees, suppliers, transportation providers, and customers.
Physical Requirements:
- Frequent sitting and computer use.
- Occasional standing, walking, and handling or operating office and warehouse equipment.
- Regularly lifts and/or moves up to 10 pounds.
- Frequently lifts and/or moves up to 25 pounds.
- Occasionally lifts and/or moves up to 50 pounds.
- Ability to safely navigate office, warehouse, and operational environments.
