Schedule & Compensation

  • Full time position, 40 hours weekly 
  • Pay: $21-$25/hour

The Office Coordinator assists with any or all of the Administration Office duties as assigned by supervisor, with neatness, efficiency, and accuracy always.

Prepares monthly billing and resident funds accounts quarterly. Is courteous and helpful to residents and their families. Has knowledge of office machines such as copier, calculator, and computer. Maintains safety and responsibility when handling equipment. Sorts through department correspondence and routes to person necessary for follow through.

Essential functions

· Responsible for monthly billing of Residential Living and Personal Care.

· Responsible for Accounts Receivable.

· Attends in-service programs and completes all Relias assignments.

· Remains flexible as work demands are always changing.

· Handles equipment in a safe manner.

· Responsible for ordering computer supplies, such as checks, billing forms, etc.

· Responsible for working in a team-like manner to ensure quality service from within the department.

· Attend the following meetings: status, safety committee, quality assurance, Resident Council, Tenant Council.

· Assist with inquiries and tours as needed.

· Organize and maintain office-related forms, i.e. employees, residents, tenants, etc.

· Maintain drivers’ license list and forward to car insurance agency.

· Process and reconcile monthly credit card.

· Conducts new hire orientation and FIT testing for new associates.

· Enter new admission information into PCC to support billing and admissions process.

· Provide coverage for the concierge desk during lunch & meal breaks. Will also serve as a back-up for concierge for PTO, Vacation and/or call-outs Monday – Friday 8:00am – 4:30pm.

· Provide monthly Relias reports to managers regarding those trainings not completed by associates.

· Communicate internal community concerns to the Executive Director before escalating them.

· Redirect associates with questions/concerns to their manager.

· Performs other duties, as assigned.


  • Prior office knowledge/experience 
  • Specific business experience with older adults or in the retirement housing industry preferred
  • Must be able to lift 25-30lbs. 
  • High School diploma or GED or Business degree
