Full job description
WelbeHealth’s PACE program helps seniors stay in their homes and communities by providing medical care and community-based services. We provide all-inclusive care for seniors including medical, dental, physical therapy, and much more. Our core values and participant focus lead the way no matter what.
The Scheduling Specialist is accountable for coordinating participant care scheduling, including maintaining accurate team member availability for participant appointments. This role also manages cancellations and rescheduling requests, responds to calls and in-person participant needs, notifies participants regarding future appointments, and conducts other administrative tasks as needed.

On the day-to-day, you will:
- Effectively coordinate the scheduling of participants appointments
- Assist with troubleshooting conflicts and urgent needs, communicating with all stakeholders (staff, families, providers, etc.) to meet appointment turn-around times
- Address cancellation and rescheduling requests from both staff members and participants, ensuring changes are appropriately managed and promptly communicated to all parties
- Respond to incoming phone calls, emails, and contacts as scheduling requests are received
- Maintain and update team member availability in source systems to ensure accurate information is reflected at all times
- Communicate appointment confirmations and appointment reminders as outlined by department protocols, updating appointments as appropriate
Job requirements include:
- High school diploma or equivalency required
- Minimum of one (1) year of healthcare experience required; PACE experience preferred
- Minimum of one (1) year of experience with Electronic Medical Records (EMR)
- Outstanding customer service orientation, especially in telephone and written communications
- Excellent organizational and communication skills
