A Space For Us Counseling is a growing outpatient mental health and wellness practice seeking a dependable, organized, and personable Administrative Assistant to support the day-to-day operations of our practice.
The ideal candidate is professional, compassionate, detail-oriented, comfortable communicating with clients, and able to maintain confidentiality in a behavioral health environment.
Job Summary
In this role, you will provide support to our office employees, ensuring they have all the information and resources they need to perform their best. Your responsibilities will include answering phone calls, scheduling appointments, planning meetings, and writing correspondence. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor.
Responsibilities
- Answer and respond to phone calls, emails, and general client inquiries
- Assist new clients with the intake and scheduling process
- Schedule, reschedule, and confirm appointments
- Maintain accurate client and administrative information
- Assist with insurance verification and basic administrative follow-up
- Support clinicians with non-clinical administrative needs
- Maintain organized electronic records and office documents
- Assist with referrals and communication with outside providers when appropriate
- Help with general office operations and special projects
- Follow HIPAA, confidentiality, and privacy requirements
Qualifications
- High school diploma/GED required, Associate’s degree or administrative training is preferred
- Previous experience as an Administrative Assistant or in a similar position
- Familiarity with standard office equipment such as printers and fax machines
- Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint
- Highly organized with excellent time management skills and the ability to prioritize projects
- Strong communication and customer-service skills
- Professional and welcoming demeanor
- Ability to handle confidential information appropriately
- Comfortable using computers, email, electronic scheduling systems, and online platforms
- Ability to work independently and manage multiple responsibilities
- Experience in a medical, behavioral health, counseling, or healthcare office is preferred but not required
