POSITION OVERVIEW: Lifescape Colorado is seeking an organized, client-centric, and adaptable individual to join our team as a Sales Lead Intake & Office Coordinator. The primary focus of this role is managing incoming sales leads, qualifying potential clients, and ensuring a smooth transition of clients to the sales teams. This position also serves as the company’s receptionist and provides office management, administrative, and people operations support to all departments.
This role involves excellent communication skills, attention to detail, and the ability to work in a fast-paced environment. Approximate time allocation is 60% sales lead intake and sales support and 40% reception, office coordination, and team support. Bilingual in English/Spanish is strongly preferred.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Sales Lead Intake and Qualification
- Lead Management: Handle incoming sales inquiries via phone, email, and online forms. Ensure a high level of accuracy and prompt maintenance of CRM records.
- Qualification: Assess and qualify leads based on predefined criteria to determine their potential as a prospective client before assigning them to the appropriate person. Inform prospective clients of the Lifescape process and consultation information.
- Communication: Communicate with potential clients to gather necessary information and answer initial questions. Follow the sales process to qualify and distribute leads to the appropriate sales team.
- Data Entry: Accurately enter and update lead information in the CRM system.
- Sales Tracking: Track and monitor the sales process for all leads until each lead is deemed won or lost. Track relevant KPIs to monitor sales progress and provide feedback to Senior Leadership.
- Collaboration: Work closely with the sales team to ensure leads are properly handed off and followed up on.
- Reporting: Generate and maintain reports on lead status and conversion rates.
- Marketing Support: Assist with logging business development leads and support the sales and marketing teams with business development events as needed.
Reception and Client Services
- Reception: Perform receptionist duties, being the primary contact on the phone and representing the company positively and professionally.
- Customer Service: Provide exceptional customer service to all clients and prospective clients, ensuring all incoming walk-in, call, and email clients are provided with a high level of service.
- Client Services: Coordinate both internal and external client services and issue tracking.
- Visitors: Welcome visitors and new employees to Lifescape and maintain the visitor log.
- Meetings: Organize and schedule meetings and maintain conference room calendars.
- Opening and Closing: Execute opening and closing duties daily.
- Common Areas: Organize and maintain the lobby, conference rooms, showroom, and break room areas.
People Operations and Culture Support
- People Operations Support: Support the People Operations team with onboarding and offboarding processes.
- Applications: Facilitate walk-in and in-person application processes.
- Uniforms: Assist with uniform tracking and distribution.
- Company Communication: Support company communication, employee recognition programs, and employee events.
- Correspondence: Write letters, return phone calls, and emails as directed.
- Confidentiality: Maintain confidentiality when handling sensitive and confidential information.
Office and Facilities Management
- Mail: Organize and ship outgoing mail and sort and distribute incoming mail.
- Supplies: Order janitorial, office, and printing supplies and maintain inventory.
- Office Systems: Assist with the management of office and phone systems and office equipment.
- Facilities Support: Support facilities management, including identifying and reporting maintenance and repair needs.
- Departmental Support: Provide administrative support to all departments, including printing, laminating, copying, scanning, labeling, and data entry.
- Additional Duties: Perform errands and special duties as assigned.
QUALIFICATIONS:
- High school diploma or equivalent; associate or bachelor’s degree preferred.
- Prior experience with a CRM system such as Salesforce, Pipedrive, or related systems is required. Previous experience in a sales support, customer service, or front office role is a plus.
- Bilingual English/Spanish is strongly preferred.
- Strong communication and interpersonal skills and excellent organizational abilities. Proficiency with Microsoft Outlook, Teams, Word, and Excel.
- Detail-oriented, proactive, and able to work independently as well as part of a team.
- Highly organized with the ability to balance diverse priorities.
- Professional and composed in a fast-paced, client-facing environment.
- Responsive and consistent with follow-up.
- Experience working with high-end clientele.
WORK ENVIRONMENT:
On-site, office-based position at Lifescape’s Denver facility. Involves extended periods at a front desk workstation and on the phone and computer, and occasional lifting and moving of supplies, mail, packages, and event materials of up to 25 pounds. Occasional flexibility outside standard hours may be needed to support company events.
