About This Role

Provides general administrative support to a leader or department.  Exercises discretion and independent judgement in managing flow of work.  Requires full proficiency gained through job-related training and on-the-job experience to perform a range of tasks under limited supervision.

Responsibilities 

  • Provide a broad range of professional administrative support to leaders, colleagues, and teams with limited supervision.
  • Coordinate meetings, conference rooms, catering, visitor processes, presentations, and meeting notes as needed. Manage calendars, receive meeting notices, and proactively resolve scheduling conflicts.
  • Facilitate effective communication flow by leveraging knowledge of organizational structures, business processes, and company systems.
  • Demonstrate ownership, accountability, adaptability, strong organizational and time management skills, effective prioritization, multitasking ability, planning capability, and proficiency with technology.
  • Serve as a problem solver and team resource by troubleshooting issues, answering questions, providing guidance, and acting as a liaison with external vendors and service providers when needed.
  • Arrange domestic and international business travel, including flights, rental vehicles, hotels, restaurant reservations, and travel itineraries.
  • Drive continuous improvement of work processes and systems. Maintain SharePoint sites and Microsoft Teams content, and serve as a focal point for office technology and equipment.
  • Prepare and submit expense reports for self and others. Monitor expenses against budgets, resolve discrepancies, and provide reporting to cost center owners and budget managers.
  • Serve as a workgroup safety warden when assigned and communicate safety messages to the team.
  • Participate fully in projects and complete assignments independently, producing quality results with minimal direction. Identify opportunities to improve team efficiency, overcome obstacles, initiate activities that support team goals, and maintain productivity during periods of change.
  • Build strong working relationships across the organization, understand and address concerns, gather diverse viewpoints, and communicate effectively with varied audiences. Proactively alert stakeholders to potential issues and maintain a positive, supportive workplace presence.
  • Understand and contribute to team goals and business objectives while serving as a key departmental contact. Make sound decisions beyond areas of direct expertise, model high standards of professionalism, and motivate and encourage others.
  • Work independently with software and business systems, coach others on standard office equipment and software, maintain records in accordance with company guidelines, protect confidential information through proper classification and storage practices, respond to customer, client, and coworker requests, and effectively utilize integrated business and functional systems.

 

Required Qualifications

  • Must have a minimum of a high school diploma/GED equivalent.
  • A minimum of 2 years of relevant experience.
  • A minimum requirement for this U.S. based position is the ability to work legally in the United States.  No visa sponsorship/support is available for this position, including for any type of U.S. permanent residency (green card) process.

  • Administrative Coordination: Effectively manages calendars, meetings, travel arrangements, expense reporting, visitor processes, and day-to-day administrative activities while ensuring accuracy, efficiency, and attention to detail.
  • Organization and Prioritization: Successfully balances multiple priorities, manages competing requests, maintains records and documentation, and delivers quality results through strong planning, time management, and organizational skills.
  • Communication: Builds productive working relationships, facilitates effective communication across teams, adapts messaging for different audiences, and serves as a trusted point of contact for internal and external stakeholders.
  • Problem Solving: Identifies issues, evaluates solutions, overcomes obstacles, and takes proactive action to improve processes, support team objectives, and drive operational efficiency with minimal supervision.
  • Technical Proficiency – Utilizes office technologies, business systems, Microsoft 365 applications, SharePoint, and collaboration tools to manage information, maintain data integrity, protect confidential information, and support business operations. SAP experience would be a plus.
