About the role

  • Waterford is seeking an Office Administrator who will be responsible for ensuring the smooth day-to-day operations of the office. This role supports onsite team members, manages administrative tasks, and helps maintain an organized and efficient work environment. The Office Administrator acts as a central point of contact for internal and external communications.

What you'll do

  • Administrative Support
    • Manage office correspondence, including emails, phone calls, and mail
    • Maintain filing systems (physical and electronic)
    • Schedule appointments, meetings, and conference calls
    • Prepare reports, presentations, and documents as needed
  • Office Operations
    • Oversee office supplies inventory and order new supplies when necessary
    • Coordinate maintenance and repair of office equipment
    • Ensure office cleanliness and organization
    • Assist with onboarding new employees (workspace setup, materials, etc.)
  • Communication & Coordination
    • Act as the first point of contact for visitors and clients
    • Coordinate internal communications and announcements
    • Liaise with vendors, service providers, and external partners
  • Financial Administration
    • Assist with basic bookkeeping tasks, such as invoicing and expense tracking
    • Process purchase orders and maintain financial records
    • Support budgeting and cost control activities
  • Data Management
    • Maintain and update Rent Manager records
    • Ensure data accuracy and confidentiality
    • Generate reports and analyze administrative data where needed

Qualifications

  • Education
    • High school diploma or equivalent
    • Associate or bachelor’s degree preferred
  • Experience
    • 2+ years of administrative or office support experience preferred
  • Skills
    • Must be bilingual, with the ability to understand, speak, read, and communicate effectively in both English and Spanish.
    • Strong organizational and multitasking abilities
    • Excellent written and verbal communication skills
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
    • Attention to detail and problem-solving skills
    • Ability to prioritize tasks and work independently
