Inventory Coordinator

We are seeking a highly organized and detail-oriented Inventory Coordinator to support daily inventory, purchasing, and warehouse operations. This role will be responsible for maintaining accurate inventory records, coordinating orders and deliveries, preparing materials for projects and service needs, and working closely with vendors and internal teams to ensure inventory is available when needed.

Responsibilities

* Monitor inventory levels and ensure materials, parts, equipment, and supplies are available to support daily operations.
* Prepare and kit materials for projects, installations, service calls, and other operational needs.
* Create and manage purchase orders and coordinate the ordering of parts and supplies.
* Track incoming shipments, verify deliveries, and ensure all items are properly received and recorded.
* Maintain accurate inventory records, including stock movements, receipts, transfers, and discrepancies.
* Conduct regular cycle counts, physical inventory checks, and internal audits.
* Investigate inventory discrepancies and work with vendors and internal teams to resolve issues.
* Coordinate with vendors regarding pricing, availability, delivery schedules, returns, and damaged or incorrect shipments.
* Distribute equipment, supplies, hardware, software licenses, and other materials to employees, technicians, and business partners.
* Coordinate the tracking, processing, and shipment of returned or replacement equipment.
* Maintain organized warehouse storage and assist with optimizing space and inventory accessibility.
* Prepare inventory reports and maintain documentation related to purchasing, receiving, and inventory transactions.
* Collaborate with project managers, branch leadership, accounting, operations, and warehouse personnel to ensure smooth inventory flow.
* Perform quality checks on incoming and existing inventory to ensure materials meet established standards.
* Utilize inventory management, purchasing, and other business systems to maintain accurate records and streamline processes.
* Assist with process improvements designed to increase inventory accuracy, efficiency, and cost control.
* Perform additional duties and special projects as needed.

Qualifications

* 2+ years of experience in inventory, purchasing, procurement, warehouse operations, or a related field.
* Strong organizational skills and exceptional attention to detail.
* Experience working with purchase orders, receiving, inventory records, and vendor communications.
* Strong computer skills and the ability to learn inventory management and ERP systems.
* Excellent communication and follow-up skills.
* Ability to manage multiple priorities in a fast-paced environment.
* Strong problem-solving skills and the ability to identify and resolve discrepancies.
* Ability to work independently while also collaborating effectively with cross-functional teams.
* High school diploma or equivalent required; associate or bachelor’s degree preferred.

Ideal Candidate

The ideal candidate is someone who is organized, proactive, and comfortable taking ownership of inventory from purchasing through receipt, distribution, and reconciliation. This person should enjoy working with both systems and people, have strong follow-through, and be comfortable coordinating multiple moving pieces to ensure materials are where they need to be, when they need to be there.
