Office Assistant to Property Manager
Locations: Mounds View, MN | Roseville, MN | Lakeville, MN
Pay: $20.00 - $23.00 per hour
Schedule: Monday-Friday, 8:00 AM - 4:30 PM
Employment Type: Full-Time
Position Summary
We are seeking a reliable, organized, and customer-focused Office Assistant to support the Property Manager of a professionally managed mobile home community. This role is responsible for providing administrative support, assisting residents, maintaining community records, and helping ensure the day-to-day operations of the community run smoothly.
The ideal candidate is personable, detail-oriented, and able to multitask in a fast-paced office environment while delivering exceptional customer service to residents, prospective residents, vendors, and guests.
Key Responsibilities
- Provide administrative support to the Property Manager and community staff
- Greet residents, prospective residents, vendors, and visitors in a professional and friendly manner
- Answer and direct phone calls, emails, and general inquiries
- Assist with resident applications, lease agreements, renewals, and community documentation
- Maintain accurate resident files and electronic records
- Process rent payments and assist with resident account inquiries
- Prepare notices, letters, reports, and other correspondence
- Schedule appointments and coordinate community activities as needed
- Assist with vendor communications and work order tracking
- Support marketing and leasing efforts, including showing available homes when appropriate
- Maintain confidentiality of resident and company information
- Ensure compliance with company policies and community standards
- Perform other administrative duties as assigned
Qualifications
- High school diploma or equivalent required
- Previous office administration, customer service, property management, leasing, or administrative assistant experience preferred
- Strong verbal and written communication skills
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
- Excellent organizational and time-management abilities
- Ability to prioritize multiple tasks and meet deadlines
- Professional demeanor and strong customer service skills
- Ability to work independently and as part of a team
- Property management or housing experience is a plus but not required
Physical Requirements
- Ability to sit, stand, and walk for extended periods
- Ability to occasionally lift up to 25 pounds
- Ability to move throughout the community as needed
