Overview
We are seeking a highly skilled Payroll Tax Specialist to join our team and serve as a subject matter expert in payroll tax compliance across multiple jurisdictions. This role is responsible for managing payroll tax filings, payments, notice resolution, account maintenance, and compliance activities for a complex, multi-state payroll environment.
This is a temporary position expected to continue through the end of the year, with the potential to support critical payroll tax initiatives during a period of high business demand. The position follows a hybrid work schedule, requiring 2–3 days per week in our Orlando, FL office, with the remainder of the week working remotely.
The ideal candidate will possess deep knowledge of federal, state, and local payroll tax regulations and have hands-on experience with ADP SmartCompliance, including tax filings, payments, notice management, and error resolution. This is not a traditional payroll processing role—we are seeking a payroll tax professional who can independently research, troubleshoot, reconcile, and resolve complex tax issues with minimal supervision.
How you'll make an impact
- Manage and resolve federal, state, and local payroll tax notices across multiple jurisdictions.
- Research and resolve ADP SmartCompliance filing and payment rejections, ensuring timely correction and compliance.
- Reconcile payroll tax liabilities, payments, funding reports, and agency balances.
- Communicate directly with federal, state, and local tax agencies to resolve account discrepancies, notices, penalties, and interest assessments.
- Research payment application issues and obtain EFT confirmations, trace numbers, and supporting documentation as needed.
- Prepare and submit agency responses, abatement requests, amended returns, and prior-year tax corrections.
- Review quarterly and annual tax filings for accuracy and completeness.
- Process and manage W-2 and W-2C corrections.
- Maintain tax registrations, account updates, and account closures across multiple jurisdictions.
- Monitor compliance for 60+ FEINs and ensure adherence to federal, state, and local tax regulations.
- Support payroll tax activities associated with mergers, acquisitions, and organizational changes.
- Maintain detailed audit documentation and tracking logs for notices, filings, payments, and agency correspondence.
- Analyze and reconcile payroll tax accounts, ensuring liabilities are accurately funded, paid, and reported.
- Partner with internal payroll, accounting, finance, and compliance teams to resolve complex payroll tax matters.
About You
Required
- 3+ years of payroll tax experience in a multi-state environment.
- Strong knowledge of federal, state, and local payroll taxes, including withholding, unemployment taxes (FUTA/SUI), quarterly and annual filings, W-2/W-2C corrections, tax registrations, and account maintenance.
- Hands-on experience with ADP SmartCompliance, including Tax Filing, Tax Payments, Notice Management, Tax Profiles, Funding & Settlement Reports, reject resolution, and agency correspondence.
- Experience researching and resolving tax notices, filing rejections, payment discrepancies, and agency inquiries.
- Proven ability to perform payroll tax liability reconciliations, tax account balancing, funding analysis, and quarter-end/year-end reconciliations.
- Advanced Excel skills, including Pivot Tables, SUMIFS, XLOOKUP/VLOOKUP, and analysis of large datasets.
- Strong analytical, problem-solving, and organizational skills with exceptional attention to detail.
Preferred
- Experience with Workday Payroll.
- Experience supporting multiple FEINs and multi-state payroll tax compliance.
- Exposure to mergers, acquisitions, and payroll tax integrations.
- Certified Payroll Professional (CPP) designation.
