Position Overview

The Patient Scheduling Coordinator plays a critical role in coordinating patient appointments, ensuring accuracy in registration, and assisting with insurance verification and referral processes. This role demands exceptional communication, organizational, and multitasking abilities. 

Key Responsibilities

  • Greet patients and representatives in a professional and welcoming manner
  • Verify and update demographic and insurance information
  • Schedule office visits, lab work, radiology tests, and internal referrals
  • Respond to phone calls and emails related to appointment scheduling
  • Send out appointment reminders or rescheduling letters
  • Assist patients with various requests and resolve scheduling issues
  • Collaborate with care support and maintain referral documentation
  • Support administrative functions and provide coverage for peers when needed
  • Maintain confidentiality and demonstrate a patient-first approach
  • Participate in training and orientation of new staff as assigned
  • Attend staff meetings and maintain timely communication with leadership

Qualifications

Education & Experience

  • Required:
    • High school diploma or GED
    • Six months of related experience and/or training in healthcare or a similar administrative role
  • Preferred:
    • Experience in insurance verification and referral processing

Skills & Abilities

  • Excellent verbal and written communication skills
  • Strong organizational, follow-up, and multitasking abilities
  • Proficiency in computer systems and scheduling software
  • Ability to prioritize assignments in a fast-paced environment
  • Problem-solving skills and sound judgment under minimal supervision
  • Team-oriented, professional demeanor with a patient-first mindset
