We’re looking for a highly organized person, who excels at multi-tasking and has an eye for aesthetics. You have to be a self-starter (in other words – take initiative), be comfortable working independently, detail oriented, not afraid to ask questions, and know what it takes to keep our office running smoothly. You will manage the operations and maintenance of our office; graciously hosting clients, employees, vendors, contractors, etc. You are the face of our New Jersey Trane office!
What you will do:
- Serve as the face of the New Jersey Trane office by creating a professional, welcoming, and efficient environment for employees, visitors, customers, and business partners.
- Manage the reception area, including greeting guests, handling incoming calls, coordinating mail and deliveries, and routing inquiries or sales leads to the appropriate departments.
- Act as the office hub and single point of contact by maintaining office contact lists, contractor information, distribution lists, and supporting internal communications.
- Oversee day-to-day office operations and administrative activities to ensure smooth business continuity, workplace organization, and team productivity.
- Coordinate travel, accommodations, car service, catering, training room scheduling and set-up, catering food, and other office logistics as needed.
- Support office communications and projects, email communications, customer event planning, maintaining the conference rooms, and other marketing or leadership initiatives.
- Maintain a clean, organized, and fully functioning workplace by partnering with cleaning crews, vendors, service providers, contractors, and building management.
- Order and maintain office supplies and cleaning supplies to ensure the workplace remains well-stocked, organized, and presentable at all times.
- Supervise maintenance, repairs, housekeeping, office layout changes, and upkeep of office areas, common spaces, and facilities equipment.
- Ensure office equipment is properly maintained, including audio/visual equipment, copiers, fax machines, alarm systems, phones, and other shared office tools.
- Manage office supplies, furniture, equipment, business cards, vending machines, marketing collateral, and promotional giveaways in accordance with company purchasing policies and budget guidelines.
- Support onboarding for new hires by coordinating workspace set-up, supplies, phones, key cards, and other essentials to create a positive first-day experience.
- Assist with budget tracking, invoice processing, office-related bill payments, expense reporting, purchase coordination, and other financial administrative tasks.
- Help ensure compliance with company policies, health and safety requirements, workplace standards, and security procedures, including building access and badge administration.
- Provide administrative and executive-level support to business leaders and assist with special projects, cross-functional initiatives, and leadership requests with professionalism, urgency, and discretion.
What you will bring:
- High school diploma required, college degree preferred.
- 4–5 years of experience in customer service and administration required; prior office management experience preferred.
- Strong organizational, multitasking, and decision-making skills.
- Experience with expense tracking, budgeting, invoice processing, and office-related financial administration.
- Excellent verbal and written communication skills, with a polished and professional presence.
- Strong attention to detail and the ability to manage confidential and sensitive information with discretion.
- Ability to remain calm, professional, and resourceful in stressful situations.
- Strong problem-solving skills and a proactive approach to anticipating office and leadership needs.
- Customer-service mindset with the ability to understand needs, solve problems, and respond efficiently.
- Strong interpersonal skills and the ability to build positive working relationships across functions and levels.
- Ability to work independently while also collaborating effectively as part of a team.
- Comfort working with computers, digital tools, and new technologies; ability to learn systems quickly.
- Strong proficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
- Experience with Salesforce preferred.
- Experience hosting events and coordinating office meetings, training, or customer events preferred.
- Honesty, flexibility, self-motivation, professionalism, and a team-oriented attitude.
- Ability to use AI-enabled workplace tools appropriately to improve efficiency, organization, and communication quality.
