Job Title: Executive Assistant

Employment Type: Full-Time

Shift: Mon-Fri, day shift
Location: Langhorne, PA or Darby, PA (whichever is closer/more convenient)

Position Purpose

This position provides administrative support for regional senior executives. Duties include meeting coordination, travel coordination, finance (invoices and expenses), and general administrative duties such as phone, filing, timekeeping, and mail. This position also performs administrative work on behalf of the executives, including composing/proofreading a wide variety of correspondence, reports, and materials, and performing duties specific to the executive’s functional area (Board preparation, policy work, event coordination). An incumbent in this position serves in a liaison capacity between the executive and internal and external contacts, and is expected to establish and maintain cooperative working relationships with those contacts.

As a Executive Assistant, you will:

  • Maintains complex calendars for executives. Schedules and coordinates meetings for the executives as assigned. Ensures appropriate meeting space is secured and needed AV equipment is set up and ready to use. Distributes meeting agendas and meeting documents in advance of meetings. Sends meeting requests to participants in a timely manner. Monitors RSVPs and keeps Executives apprised of any potential scheduling conflicts which may necessitate rescheduling. Manages all aspects of meetings, including food and beverages as needed.

  • Identifies tasks and timelines and manages revisions as appropriate to meet changing needs and requirements.

  • Gathers information and data for presentations and projects, consistent with established deadlines.

  • Assist executives with calendar management. Using sound and appropriate discretion, sets up, shifts or declines meetings on behalf of the executives. Informs the executives of any unresolved scheduling conflicts and/or any unexpected scheduling changes.

Minimum Qualifications:

  • 5+ years of experience as an Executive Assistant, providing support to C-Level executives (preferred)

  • Must be proficient in Microsoft Office Suite (required)
