Position Description:
We are seeking a highly organized and detail-oriented Project Administrator to support our growing Mission Critical team. This individual will play a key role in ensuring project documentation, reporting, and administrative processes are managed efficiently throughout the project lifecycle. The ideal candidate thrives in a fast-paced environment, enjoys collaborating with cross-functional teams, and has exceptional organizational and document control skills. Working closely with Project Managers, Commissioning Leads, and project teams, the Project Administrator will be responsible for maintaining accurate project records, coordinating documentation, supporting project reporting, and ensuring compliance with internal and client documentation standards.
Key Responsibilities
- Provide administrative support to Project Managers, Commissioning Leads, and project teams across multiple mission-critical projects.
- Convert technical and project information into organized, user-friendly documentation.
- Prepare, format, number, label, and maintain project documentation in accordance with company and client standards.
- Track project documents throughout their lifecycle, ensuring accurate version control and document status at all times.
- Maintain physical and electronic project filing systems to ensure documents are current, accessible, and properly archived.
- Review documentation for completeness, accuracy, formatting, and consistency prior to distribution.
- Coordinate with project team members to collect required documentation and ensure deliverables are submitted on schedule.
- Distribute project-related documentation and communications to internal stakeholders, clients, subcontractors, and external partners as required.
- Assist in maintaining document control processes and continuously improve documentation workflows.
- Prepare routine and ad hoc project reports, meeting minutes, status updates, and project dashboards.
- Support project closeout activities by organizing and compiling final project documentation packages.
- Assist with scheduling meetings, coordinating project logistics, and other administrative duties as assigned.
Position Requirements:
- Associate's degree in Business Administration, Project Management, Engineering, Construction Management, or a related field (or equivalent experience).
- 2+ years of project administration, document control, project coordination, or administrative support experience.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
- Experience managing multiple priorities in a fast-paced project environment.
- Ability to work independently while collaborating effectively with cross-functional teams
Preferred Experience:
- Experience working with data center projects
- Experience with CxAlloy, Procore, and/or Autodesk
- Excellent oral and written communication skills in English
- Able to travel domestically as required
