As the first point of contact for our clinic, you will be the welcoming face of our company, creating a positive and professional impression for all patients. In this role, you will efficiently manage front desk operations while providing administrative support and demonstrating a genuine commitment to customer service.
- Greet and welcome patients and clients with warmth and professionalism, ensuring a positive first impression
- Screen and answer incoming calls, assisting patients over the phone
- Process incoming and outgoing mail, packages, and deliveries in a timely and organized manner
- Maintain office supplies inventory, monitor stock levels, and place orders as needed to ensure smooth operations
- Provide administrative support to various departments and team members
- Handle routine inquiries with professionalism and discretion, routing problems/questions to appropriate departments
- Maintain a clean, organized, and professional lobby and reception area at all times, maintain a clean clinic involving laundry, floor cleaning, dusting etc.
- Utilize scheduling software and electronic medical record systems to assist in scheduling of patients and with patient's chart information
- Exercise discretion and maintain confidentiality regarding sensitive company and client information
- High school diploma or equivalent required
- 1-2 years of reception, administrative, or customer service experience preferred
- Excellent verbal and written communication skills with strong interpersonal abilities
- Proficiency in MS Office Suite (Word, Excel, Outlook) and familiarity with scheduling software
- Experience with multi-line phone systems and visitor management systems
- Strong organizational and time management skills with the ability to prioritize multiple tasks simultaneously
- Professional appearance, demeanor, and telephone etiquette
- Customer service-oriented mindset with a genuine commitment to supporting others
- Ability to maintain confidentiality and exercise sound judgment in handling sensitive information
- Detail-oriented with strong problem-solving skills and a proactive approach to challenges
- Ability to work efficiently in a fast-paced environment while maintaining composure and professionalism

Schedule: Monday-Thursday 10:30-6:30, Friday 8:30-4:30
