Dental Patient Services & Scheduling Coordinator needed in Portage, MI!

We are looking for an experienced Patient Services & Scheduling Coordinator to join our team and play a key role in delivering high-quality customer service to our patients. The Patient Services & Scheduling Coordinator communicates with patients regarding their treatment plans and with insurance companies regarding claims and pre-authorizations. You will also be responsible for checking patients out for appointments, scheduling, collecting payments, answering phones, managing referrals and our automated communication systems.

Schedule: Full-time, Mondays through Thursdays

  • Mondays and Wednesdays: 7:00 AM to 4:50 PM (closed 12:00–1:00 PM for lunch)
  • Tuesdays and Thursdays: 7:00 AM to 2:00 PM

Essential Duties:

  • Deliver excellent patient customer service and support a strong team environment

  • Show empathy and build trust with patients and teammates
  • Check patients out for appointments
  • Register new patients, correctly inputting demographic and insurance information
  • Send claims to insurance companies with needed documentation and images
  • Schedule appointments and educate patients on the financial and time commitments involved in the treatment
  • Answer phone calls and respond to patient texts and emails
  • Process patient payments

Required Knowledge, Skills, and Abilities:

  • Maintain professionalism and top-notch customer service in a fast-paced setting
  • Knowledge of HIPAA standards and safety procedures
  • Proficient with dental software (Eaglesoft preferred) and Microsoft Office
  • Ability to answer patient questions regarding their treatment plans-the procedures planned, timeline and costs associated with the plan
  • Strong organization skills, time management, and communication skills
  • Ability to accept feedback and follow instructions

Licenses and Certifications:

  • High school diploma or equivalent (required)
  • Minimum of one-year relevant dental experience required, 2+ years preferred
