Overview
The HR Representative reports to the site HR Manager and partners with site HR Team to support Shared Services and Operations departments. The HR Representative will influence and manage all areas of the employee lifecycle. This entry level role is responsible for establishing and maintaining the employee experience. This role will assist and support the site HR team with various day-to-day tasks, provide administrative support, and respond to inquiries. This is an onsite role at the Rocky Mount, Virginia campus. Travel between buildings within the campus required (approximately 2 miles). There may be opportunities for additional travel to other facilities within the company.
Responsibilities
- Lead onboarding process, perform orientations, develop and cultivate relationships with new team members, help attract and retain candidates.
- Manage off-boarding, including facilitating return of company assets and property, IT changes, explaining payroll/benefit implications, and conducting exit interviews.
- Facilitate changes in Dayforce (HRIS) and Payroll, as needed. Including creating documentation for internal promotions and job changes.
- Monitor and maintain data accuracy and integrity in applicant tracking system and HRIS.
- Understand and utilize HRIS system to assist with reporting on various workforce data and trends, etc. for the HR Manager and business leaders.
- Partner with hiring managers, onsite HR team, Talent Acquisition, and appropriate external agencies on coordinating recruiting efforts; this includes but is not limited to: opening new requisitions, validating proper approvals, attending intake meetings, providing recruiting updates, tracking and reporting open requisitions, assisting candidates with applications, and assisting with hiring events.
- Act as a resource to both managers and team members by offering support and guidance regarding company policies, HR process, general communications, and best practices.
- Coordinates information with onsite HR team to ensure compliance with federal, state, and local requirements.
- Provide project management and administrative support, coordination, and planning efforts for local business and philanthropic activities at the site.
- Log all inquiries into a case management system as appropriate.
- File/archive paper documents in case management system, HRIS, or other shared archive as appropriate.
- Manage requests for LOA (FMLA, ADA, etc.) related activities.
- Update and manage metrics for the site, as directed.
- Weekly monitoring and distribution of site mailbox to appropriate departments/individuals as appropriate.
- Provide ID badge support for the site. This includes but is not limited to: digital photo and profile management, providing temp badges to visitors, documenting replacements and submitting the list for payroll deductions, ordering more supplies, and coordinating forklift program administration with EHS.
- Provides ad-hoc support and coverage for the onsite HR team.
- Maintains a high level of confidentiality when completing various administrative activities.
- Other duties as assigned.
Qualifications:
- BS/BA degree in Human Resources or related field or minimum of 2 years HR experience, required
- 0-3 years of experience in HR
- Knowledge of HR systems and databases
- Professional certification, preferred
- General knowledge of labor law and HR best practices
- Must be proficient in MS Office (Word, Excel, Outlook, PowerPoint)
- Excellent written and verbal communication skills
- Ability to multi-task and prioritize in a fast-paced environment
- Experience with generative AI tools (ChapGPT, Claude, etc.) preferred
- Bilingual in Spanish, Haitain Creole, Arabic, or Swahili preferred
