Modern Treasury is hiring a Workplace Coordinator to run the day-to-day operations of our SF headquarters, with oversight of our NY office as well. You'll own the physical workplace — space, vendors, supplies, and the daily standards that make the office a place people want to come to — while partnering closely with our onsite Executive Assistant on events, exec support, and VIP visits. This role reports to the Head of People Operations.

WEEK BY WEEK

First Week

  • Onboard with the team and learn our core tools (GSuite, Notion, Slack, Brivo Access Control, Comelit and more).

  • Start learning our product and business.

  • Establish the daily rhythm of the office: a morning walkthrough to check that conference rooms are tidy and wiped down, whiteboards are cleared, and the kitchen is stocked and clean before the team arrives. Make the first pot of coffee. These small details set the tone for the whole day.

  • Be a visible, friendly, outcome-focused presence in the office daily — someone people know they can bring a problem to.

First Six Weeks

  • Coordinate office repairs and maintenance — HVAC, lighting, furniture, cleaning — and own the vendor relationships behind them (janitorial, culinary, supplies, preventative maintenance, safety, building management).

  • Take full ownership of day-to-day office standards, closing any gaps with cleaning and supply vendors so the space stays consistently polished and guest-ready.

  • Partner with our Executive Assistant on team events, happy hours, all-hands, and external onsite/offsite events — you handle space, setup, and vendor logistics; the EA leads exec and VIP coordination.

  • Own space planning for the SF and NY offices, including moves, adds, and changes. Conduct facility audits and building inspections to ensure standards are maintained across both locations.

  • Administer mail distribution, courier services, and confidential document handling with discretion.

  • Own the company swag program and manage sending out employee anniversary gifts.

  • Respond to workplace tickets and provide proactive support alongside the Workplace Technology team.

First Six Months

  • Be a driving force of office culture — an environment that feels uplifting, organized, and easy to work in.

  • Be willing to stay late or arrive early to support after-hours events, ensuring the space is set up, stocked, and reset afterward.

  • Keep the Workplace budget on target and projects delivered on time.

  • Gather feedback from employees and continuously improve Workplace systems and programs.

  • Take ownership of additional Workplace projects as they come up.

REQUIREMENTS

  • 2+ years of administrative, workplace, or operations experience.

  • 5 days per week in office, 8:30am to 5pm.

  • Proactive, positive, and pragmatic — able to think strategically and execute tactically.

  • Comfortable with occasional early mornings or evenings to support events.
