Full job description
Reporting to the Director of Facilities and Operations, the Facilities Manager provides day-to-day leadership for facilities services and site readiness at the Collections Center (CC), SFMOMA’s dynamic collections research and storage center. This role partners as a peer with the Operations Manager to ensure the CC runs smoothly, safely, and efficiently for staff, visitors, and vendors.
With a primary focus on facilities activities at the CC, this role coordinates building services and maintenance work; troubleshoots issues; oversees service requests from intake through resolution; and supports project/construction management for capital improvements at the Collections Center. The Facilities Manager serves as a key on-site liaison with the People Team (HR) and IT to support staff needs that intersect with the workplace environment (e.g., onboarding logistics, delivery of workplace meals, workstation moves, access coordination, basic connectivity/peripheral issues routing) and ensures timely communication and follow-up with internal partners and external service providers. At the Collections Center, the Facilities Manager is a vital partner to colleagues in Collections in the long-term care and accessibility of SFMOMA’s collections, as well as loans to the museum, including the Fisher Collection.
The CC Facilities Manager maintains clear documentation, service standards, and responsive support—anticipating needs, reducing downtime, and driving continuous improvement across CC facilities operations.
Responsibilities & Duties
- Oversee day-to-day facilities activities at the Collections Center (CC), ensuring workspaces and shared areas are clean, safe, functional, and operationally ready.
- Coordinate routine inspections and basic preventative maintenance activities; track recurring issues and support long-term resolution planning.
- Serve as the on-site point of contact for facilities-related incidents and outages; troubleshoot within scope and escalate promptly as needed.
- Vendor & Service Provider Management
- Coordinate access, scheduling, and on-site support for vendors and service providers engaged in facilities activities; meet vendors on-site, confirm scope, and ensure work is completed to standard.
- Support procurement workflow by collecting quotes, tracking work orders, verifying completion, and assisting with invoice review/processing as directed.
- Maintain vendor visit logs and service documentation; communicate planned work and impacts to CC stakeholders.
- Capital Improvements & Project/Construction Management (CC)
- Support planning and execution of CC capital improvement projects (e.g., space upgrades, infrastructure replacements) in partnership with the Director of Facilities and Operations and other internal stakeholders.
- Coordinate construction activities on-site, including access, staging, safety requirements, scheduling, and communication of impacts to staff and neighbors.
- Track project scope, milestones, punch lists, and closeout documentation; help ensure deliverables meet quality, safety, and operational standards.
- Assist with contractor coordination, RFIs/submittals routing, and collection of quotes and change order documentation as directed.
- Service Requests, Ticketing & Troubleshooting
- Own facilities-related service request intake, triage, and tracking; create, update, and close tickets and ensure service-level follow-through.
- Provide hands-on fixes to minor problems (e.g., basic repairs, resets, replacements) and coordinate specialized support when required.
- Maintain clear status updates with requestors; identify bottlenecks and implement improvements to reduce repeat issues.
- Facilitate urgent repairs by working with Engineering to provide updates on work and condition.
- Cross-Functional Partnership (Operations, People, IT)
- Partner as a peer with the Operations Manager to coordinate site priorities, coverage, communications, and response to operational needs at the CC.
- Act as an on-site liaison with the People Team (HR) and IT for workplace-related support needs (e.g., onboarding logistics coordination, workstation moves, access coordination, routing basic IT/peripheral issues).
- Support space changes, moves, and minor projects by coordinating logistics, vendor access, and stakeholder communications.
- Safety, Compliance & Documentation
- Support site safety and compliance by following established procedures, reporting hazards, and assisting with routine inspections, drills, and communications as assigned.
- Maintain accurate records of service requests, vendor work, and facility conditions; prepare basic reports and recommendations for the Director of Facilities and Operations.
- Perform other duties as assigned.
Qualifications & Skills
- High school diploma or GED required. Associate degree, trade school coursework, or relevant certifications (e.g., facilities, safety, building systems, project coordination) preferred, or equivalent working experience.
- Minimum of four (4) years of experience in facilities operations, building services, workplace services, or a related role.
- Experience coordinating vendors, managing service requests/ticketing, and supporting building maintenance activities in a multi-department environment is preferred.
- Experience supporting capital projects and on-site construction coordination is a plus.
- Strong customer-service mindset with the ability to balance responsiveness with safety, policy, and operational priorities.
- Working knowledge of facilities operations and building services; ability to troubleshoot common workplace and equipment issues and escalate appropriately.
- Demonstrated ability to coordinate vendors and service providers, confirm scope of work, and follow through to completion.
- Experience with ticketing/helpdesk systems and maintaining accurate, timely documentation and status updates.
- Ability to support project/construction coordination activities, including scheduling, stakeholder communications, tracking scope/milestones, and managing punch lists.
- Strong organization and prioritization skills; ability to manage multiple concurrent requests and shifting deadlines.
- Clear, professional communication skills; ability to partner effectively with Operations, People (HR), IT, and other stakeholders.

Working Conditions
- Four (4) days/week at the Collections Center in South San Francisco and one (1) day/week at the Museum’s Third Street location.
- Combination of sedentary and active work with an on-site presence throughout the Collections Center.
- Must be able to conduct visual inspections of spaces, move through facility areas, and communicate directly with staff, partners, and vendors.
- Willingness to work flexible hours; evenings and weekend hours required.
