Are you a highly organized and proactive individual ready to make a tangible difference? We are seeking a dynamic professional to join a collaborative team and play a pivotal role in ensuring the smooth execution of projects and the efficient functioning of operations. This position offers an exciting opportunity to drive critical initiatives forward, optimize resources, and ensure timely project completion. You will be instrumental in coordinating diverse departmental activities, facilitating seamless communication, and providing essential administrative and operational support that underpins the success of vital initiatives. Your ability to manage multiple priorities and cultivate strong relationships will directly contribute to a collaborative environment and the overall effectiveness of the organization, making a direct impact on the quality of patient care.
What You Will Do
- Manage project reporting, ensure appropriate resource utilization, and oversee project schedules. Coordinate departmental project activities and ensure all project phases are accurately documented.
- Lead individual projects as they arise, identifying opportunities for improvement and providing strategic direction. Present project results and facilitate workshops and committee meetings.
- Provide expert guidance on administrative processes and ensure efficient workflow of paperwork.
- Offer expertise on human resources policies and procedures to the management team. Ensure timely submission of evaluations and all necessary personnel paperwork. Coordinate the hiring process for new employees, conduct initial departmental orientation, and monitor compliance with departmental training requirements.
- Oversee the allocation of equipment and supplies. Facilitate periodic inventory reviews and prepare relevant facility reports. Track and present cost management efforts at departmental staff meetings.
- Manage and coordinate various events.
- Coordinate support requests from internal departments, serving as an internal representative for communication systems. Collaborate with representatives from these departments to ensure high-quality work is completed promptly. Ensure new hires have all necessary resources available upon their start.
- Participate in assigned projects and complete them within specified timeframes. Perform other related duties as assigned.
Must-Have Qualifications
- Be authorized to work in the United States
- Not require sponsorship of any kind for the duration of the assignment
- Be able to work on a W-2 basis. C2C or 1099 is not permitted for this position
- Be able to work the following schedule: Monday – Friday, 7:30 AM – 4:00 PM
- High school diploma or equivalent.
- Excellent organizational and problem-solving skills with the ability to prioritize multiple and diverse tasks effectively.
- Proven ability to manage multiple changing priorities in a fast-paced environment.
- Ability to take direction and work effectively both independently and collaboratively with others.
- Demonstrated ability to independently seek out and obtain necessary information.
- Demonstrated ability to exercise good judgment and use discretion in confidential situations.
- Excellent written and verbal communication skills.
- Ability to communicate clearly and maintain a professional appearance and composure with all types of individuals, including faculty, management staff, and others.
- Exhibits a professional approach to work, including a strong sense of responsibility for assigned duties.
- Ability to prepare and manage accurate file systems consistent with standard office practices.
- Ability to utilize critical thinking skills and time management principles in developing effective work plans to achieve goals.
- Demonstrated ability and interest in learning new software programs as required.
- Intermediate level proficiency using computer software systems including Microsoft Office (Word, Excel, PowerPoint), as well as other standard office equipment (e.g., phone systems, copiers, facsimile).
- Adherence to safety policies and procedures, incorporating ergonomic principles in work habits.
Nice-to-Have Qualifications
- Bachelor’s Degree.
- Extensive knowledge and understanding of hospital and clinic organization.
