Lead Front Desk / Office Manager – Dental Practice

Position Type: Full-Time

We are looking for a charismatic, highly organized, detail-oriented dental professional to join our growing practice as a Lead Front Desk / Office Manager. This is an ideal opportunity for an experienced dental front-office professional who is ready to take the next step in their career and has the potential to grow into a full Office Manager role.

The ideal candidate is confident, personable, proactive, and comfortable taking ownership of the patient experience, scheduling, collections, team coordination, and daily front-office operations.

What You’ll Do

Patient Experience & Front Desk

  • Create a warm, professional, and welcoming experience for every patient.
  • Greet and check patients in and out efficiently.
  • Answer phones, respond to patient inquiries, and manage communication professionally.
  • Schedule and confirm appointments while maintaining a productive and healthy schedule.
  • Coordinate new patient appointments and ensure all necessary information is collected.
  • Handle patient concerns with professionalism and escalate issues appropriately.
  • Build strong relationships with patients and encourage long-term patient retention.

Scheduling, Recall & Practice Growth

  • Manage daily and future doctor and hygiene schedules.
  • Monitor cancellations, no-shows, open time, and opportunities to fill the schedule.
  • Take ownership of recall and reactivation efforts.
  • Follow up with patients who are overdue for hygiene or treatment.
  • Maintain a consistently healthy and productive schedule.
  • Identify opportunities to improve case acceptance, patient retention, and overall practice performance.

Administrative & Financial Responsibilities

  • Verify insurance benefits and assist with treatment estimates.
  • Collect patient payments and maintain accurate account information.
  • Review outstanding balances and assist with collections.
  • Ensure daily financial, production, and collection numbers are accurate and properly closed.
  • Assist with insurance claims, outstanding claims, and account follow-up.
  • Maintain organized patient records and front-office documentation.

Leadership & Team Support

  • Serve as the lead point of contact for the front office team.
  • Help establish accountability and consistency in front-office procedures.
  • Support training and onboarding of new team members.
  • Help coordinate communication between the front desk, dental assistants, hygienists, and doctors.
  • Identify operational issues and bring forward solutions.
  • Help create a positive, accountable, and team-oriented office culture.

Growth Into Office Manager

This position is designed for someone who demonstrates the leadership, accountability, and business mindset to grow into an Office Manager.

As you develop into the role, responsibilities may expand to include:

  • Managing overall daily office operations.
  • Monitoring practice KPIs and performance.
  • Managing front-office team performance and accountability.
  • Reviewing production, collections, scheduling, recall, and reactivation metrics.
  • Helping manage marketing initiatives and evaluate marketing ROI.
  • Supporting staff scheduling and performance management.
  • Improving office systems and workflows.
  • Assisting with vendor relationships and operational needs.
  • Helping the doctor/owner achieve practice growth and profitability goals.

Required Qualifications

  • 3+ years of dental front-office experience required.
  • Eaglesoft experience is REQUIRED — candidates must have hands-on experience using Eaglesoft.
  • Previous experience as a Lead Front Desk, Front Office Coordinator, Treatment Coordinator, or Office Manager is strongly preferred.
  • Strong knowledge of dental scheduling and front-office operations.
  • Experience with dental insurance, patient accounts, treatment estimates, and collections.
  • Excellent communication and interpersonal skills.
  • Highly organized with exceptional attention to detail.
  • Comfortable working with numbers, KPIs, and practice performance metrics.
  • Professional, positive, and confident personality.
  • Ability to multitask while maintaining accuracy and a high level of patient service.
  • Someone who naturally takes ownership and does not require constant supervision.
  • Demonstrated leadership potential and a genuine interest in growing with the practice.

The Right Personality

We are looking for someone who is warm and charismatic with patients, organized and detail-oriented behind the scenes, and confident enough to lead a team when needed.

You should be someone who sees an empty spot on the schedule and thinks, “How do we fill it?” You notice when a patient has not been scheduled for their next visit, when a recall list is falling behind, or when a process could be improved—and you take initiative to fix it.

This is not simply a receptionist position. We are looking for someone who wants to take ownership of the front office, contribute to the growth and success of the practice, and ultimately become a key leader within the organization.

Eaglesoft experience is a non-negotiable requirement for this position.
