Student Assistant-Project Administration (Post-Award Focus)

 

IMPORTANT:

Total number of hours to be worked per week cannot exceed 19 hours while taking classes (if employed by multiple departments, the total combined must not exceed 19 hours). Student workers may work full-time during interim periods (between semesters) and during the summer. Position is paid bi-weekly and hourly wage will be based upon experience.

 

SUMMARY:

The Project Administration Unit, operating within the Division of Research & Economic Development at East Texas A&M University, is seeking a Student Assistant. This role supports the university's research enterprise by helping manage grant development, compliance, and award administration.



DUTIES & RESPONSIBILITIES:
  • Greet visitors to Vice President for Research and Economic Development (VPRED) suite of offices and relay information to appropriate personnel
  • Assist students, staff, faculty,' and university community with general questions related to post-award grant management
  • Maintain and update webpages for Project Administration with post-award information and resources
  • Organize and file digital award documents, subaward agreements, and compliance packets.
  • Help track internal award approvals, budget revisions, and closeout activities within the Maestro system.
  • Maintain Excel spreadsheets (editing formulas, entering accurate information)
  • Distribute compliance guidance and post-award reporting deadlines to campus investigators.
  • Route critical financial paperwork (such as cost transfers, reimbursement requests, expenditure approvals) to university budget administrators.
  • Coordinate student, staff and/or faculty sign-ins for scheduled post-award training events.
  • Assist with the Annual Research Symposium as needed, including reporting and compliance support.
  • Shred confidential grant and financial data once shredding has been approved by university
  • Clean and maintain office work area
  • Keep copy machine filled with paper
  • Collaborate and communicate with supervisor regarding post-award processes
  • And other duties as required
